The Culver Community School Board members considered the purchase of updated accounting software for Business Manager/Treasurer Casey Howard, and the Extra Curricular Activities Treasurer.
Howard explained that in the Strategic Plan two years ago, an upgrade in accounting software was planned. With no action yet taken, she proposed the purchase to the school board during the December 5 meeting with more information presented during the December 19 meeting.
Howard said she negotiated a package with Computrol for BSF software that is web based to get the business office out of an archaic DOS system. She said it is more secure and it will streamline processes in the office and allow more work to get done during the day. She said the current system has time hang-ups with several everyday procedures.
Many preprinted forms, including receipts, contracts, checks, and purchase orders, will be ready in the system rather than hiring a company to produce those documents, which is a cost savings.
Reports can be easily emailed from the system rather than printed and scanned and then emailed.
During audits, vouchers can be called up easily, rather than go through boxes upon boxes of printed vouchers to reconcile.
If approved, the implementation of the program would in the second half of 2023.
The cost of the accounting software is $33,000.
When asked if she shopped different companies for a cheaper price, Howard explained that the next best program is several thousand dollars more expensive. She felt comfortable with this company as the corporation already works with Computrol and it would not be a complete start from scratch.
In the end, the board members approved the purchase of the accounting software with a unanimous vote.
Work will be done to convert the ECA Treasurer’s program with BSF.
